Custom Email Tags

Introduction

Please note that only CMap Mail Admins can create, edit or archive tags.

In the past you would have needed to contact our Support team if you wanted a new email tag setting up. Now, you can create, update and manage email tags via the CMap Mail Admin centre. Whether you're creating a new tag or archiving an old one, you can make the necessary changes with a few clicks!

Open the CMap Mail Admin Centre

First, you'll need to head over to the CMap Mail Admin Centre and log in.  Once here, click on the 'Tags' tab.

If you are a CMap PIM user, please do NOT click on the 'Projects' tab.  This area is where CMap Mail Only projects are set up.

Creating a Tag

Start by clicking on the '+ Create new tag' button.

Add the name of the new tag, select a colour then click 'Save'. 

Each tag name must be unique. Any duplicates will be blocked by CMap Mail. Each tag name must also be 20 characters or less. You can, however, have multiple tags that use the same colour. 

Congratulations, you have created a new email tag! The tag will now be visible to all CMap Mail Users across all Projects and Hubsites. 

Editing a Tag

To edit an existing tag (these can be ones you have created yourself or the default tags that are automatically set up when you install CMap Mail), click on the pencil icon in the 'Actions' column.

Make your edits to the tag, such as updating the tag name or changing the tag colour. Then, click on the tick icon to confirm the changes. 

You can also edit the order that the tags appear in the plug-in by dragging and dropping them using the toggle icon. 

Archiving a Tag

If a tag is no longer relevant, you can archive it.  Please note that you cannot delete tags so you will need to archive them instead. 

You can do this by clicking on the container icon in the 'Actions' column.

A pop-out box will appear that explains that the tag will no longer be available for new emails but will still be visible on emails that have already been filed. Click on 'Archive Tag' to confirm the change. 

If you have filed and tagged a email thread using our future filing feature, and then decide to archive the tag, the emails will continue to be tagged with the same tag, despite it being archived.

If you create a tag by mistake, you won't be able to delete it but you can archive it.

The tag will now appear in the 'Archived' section.

If you archive a tag by mistake, you can click the undo button in the 'Actions' column to restore the tag.

Search & Discovery

When CMap Mail users use Search & Discovery to find their filed emails, they will be able to filter by both Active and Archived tags.
