Set up and Manage Rate Cards

Rate Cards are used in CMap to record the charge rates for each Budget Role. Multiple Rate Cards can be set up so you can easily select the Rates that you will be charging a Client. Rate Cards are set up, updated and archived using the Rate Cards Admin Tool.

Set-up Rate Cards

1. From your Dashboard, head to the Finance tab. Under ROLES & RATES, click Rate Cards

2. Click  found on the right-hand side of the screen. 

3. Now you need to complete the following fields at the top of the page:

Field

Description

Rate Card Name

Name of the Rate Card.

Currency

Client's current currency.

Set as Default Rate Card?

If ticked, this will become the Default Rate Card.

Note: Selecting this will archive the existing default Rate Card.

4. Now you are ready to enter the Rate for each Role

The Rate defaults to Hourly. To flip this to a Daily Rate, click Change to days.

5. When you have entered the Rates for your Roles, click Save

Edit a Rate Card

When a Rate Card is updated, the existing version is archived but all Projects using that Rate Card will continue to use the archived version to avoid Project Budgets inadvertently being updated on Projects.

1. Head back into the Rate Card Tool in the Finance section. 

2. Click on the  icon found at the end of the row and the Rate Card will open.

3. Edit the necessary Rates by typing directly into the text box.

The rate defaults to Hourly. To flip this to a Daily Rate, click Change to days.

4. When you are happy with the changes, hit Save.

Archive a Rate Card

1. Head back into the Rate Card Tool, found in the Finance section.

2. Click on the  icon found at the end of the row of the chosen Rate Card. A pop-up box will appear. Click Yes to confirm you wish to archive the Rate Card.

An archived Rate Card will continue to be used on any projects currently using it. It just won’t be available to select moving forward.

Restore a Rate Card

1. Head back into the Finance tab and select Rate Cards.

2. Click the Show Archived Rate Cards link at the top of the page.

3. Find the Rate Card and at the end of the row, click Restore. The Rate Card will now appear in the list of Rate Cards and will be available to select in the Fee Estimator Tool again.

Hey presto! Hopefully you can now set-up, edit, archive and restore Rate Cards. Managing these will ensure that project managers have a working list of Rate Cards which they can select when building their fees using the Fee Estimator Tool.
