Set up Time Off Allowances

The Set Up Time Off Allowances tool can be used to record and update the Time Off Allowances for each User. This tool is especially helpful when you need to bulk update the Time Off Allowances for each User ahead of a new annual holiday period.

1. From your Dashboard, go to the Admin Tab by selecting the  icon, which you will find in the top right-hand corner of your Dashboard when you log in to CMap.

2. On the left-hand side of your screen, you will see the USERS & SECURITY navigation side extension. Scroll down to the bottom and select Time Off Allowances

3. A pop-up box will appear. Choose which Year’s allowance you would like to view and the Status of the users. 

4. You will be shown a list of users for the selected year. To populate multiple Users' Holiday Allowance in one go, you can either select them individually or select the top left tick box under Users to select all.

5. You now have two options before you populate the user’s Holiday Allowance manually. To access these, click the Actions button on the right-hand side. 

You can either:

  • Copy Previous Year’s Allowance for the selected users.
  • Calculate Carried Forward from Previous Year’s Remaining. This will look at the User’s remaining days left of Holiday and move this over to next year’s Holiday Allowance.

This is something you may want to update at the very end of your Holiday Year or at the very start of your new Holiday Year.

6. To populate your Users’ Time Off Allowances for each Time Off Type manually, you can enter the current Time Off Allowance in the text boxes available for each Time Off Type: 

Type

Description

Holiday Allowance

 

The number of days of Time Off that the User has to take, with the previous year’s allowance and a field to specify the selected year’s allowance.

Carried Forward

 

The number of days the user is allowed to carry forward from the previous Time Off year.

Days in Lieu

 

The number of days you have given the User to take back in lieu (this means you can track it separately to the Holiday Allowance).

The above options are the "standard” CMap Time off Types applicable to all CMap instances. If you have additional Time Off Types required, such as "Sick Leave" or "Parental Leave", you will need to contact the CMap Support Team to add these additional Time Off Types into your CMap Instance. Once added, these Time Off Types will also show in this tool.

7. Once you are happy with the User’s Holiday Allowances, press Save

Hopefully, you can now set up Time Off Allowances for CMap users. Doing this at the start of your Holiday Year will allow all users to keep track of their Time Off, making the process of submitting and approving Time Off much more efficient.
