Set up, edit and remove Contact Groups

The Groups function in CMap enables you to group Contacts together to form Contact lists. This is helpful when you want to create mailing lists for Sales and Marketing purposes, as Contact Groups can be used in combination with the Marketing Email Campaigns Add-On, as well as being exported into Excel to be used directly in Outlook.

In this article, you’ll learn how to:

  • Add a new Contact Group
  • Edit a Contact Group
  • Remove a Contact Field

Add a new Contact Group

  1. From your Dashboard, go to the CRM tab. Select Contacts and then click Groups.

  2. Click the  icon at the top of the grid and a pop-up box will appear. Here you can give the new Group a Name and add a short Description.
  3. Click Add or Cancel to return to the Groups page.

Add a Contact to a Group

  1. From your Dashboard, head back to the CRM tab. Select Contacts and then click Contacts.

  2. You will see a list of the Contacts in your CMap instance. Click in to the Contact that you would like to add to a Group and this will take you to the Contact Details page.
  3. Scroll down to the GROUP MEMBERSHIP box on the right-hand side.

    Contacts can be a member of as many Groups as you like, and any Groups they are a member of will be listed here.

  4. Click the  icon and a pop-up box will appear. Click in to the drop-down menu and select the Group you would like to add them to.

  5. Press Save or Cancel to return to the Contact Details page.

Edit a Contact Group

All of the functions in this section are performed in the Groups tab, accessed via the CRM tab on your Dashboard.

Bulk update your Contact Groups by clicking into the checkbox at the top of the Grids to select all.

Edit a Group Name

      1. From your Dashboard, head to the CRM tab. Select Contacts and then click Groups.
      2. Click on the Contact Group Name, which is shown in blue on the Grid.

      3. You will be taken to the Contact Group details page. Click the pencil icon at the top of the page.

      4. Type directly into the text box and then press Save or Cancel.

Edit a Group Description

      1. In the Groups tab, hover over the Description you would like to edit and a pencil icon will appear on the right-hand side.

      2. Click the blobid4.png icon and then you can type directly into the text box.

      3. Click away from the text box on the page to update the Description.

Remove a Contact Group

Delete a Group from the Groups tab

    1. From your Dashboard, go to the CRM tab. Select Contacts and then click Groups.
    2. Select the Group by clicking into the box next to the name.

      To bulk remove Groups, click into the checkbox at the top of the Grid to select all.

    3. Press Actions and then click Delete Group(s).

    4. A pop-up box will appear confirming your choice. Select Yes or Cancel to return to the Groups tab.

Archive a Group from the Group Details page

          1. Go to the Groups tab as shown in Step 1 above. Select the Group you would like to remove by clicking on its Name (shown in blue).

          2. Press the blobid11.png icon which can be found at the top of the page.

          3. A pop-up box will appear confirming your choice. Select Yes or Cancel to return to the Group details page.
