Report on Time Off

While there are a number of Standard Reports available on Time, Custom Reports can also be created using CMap's Report Builder (available with the Pro and Enterprise Plans). This article will outline the steps that can be taken to build an example Custom Report that reports on each user’s current yearly Time Off Allocations and their remaining Allowance.

1. From your Dashboard, select the Reports tab. Select Report Builder from the drop-down list.

2. Select the  icon.

3. On the left-hand side navigation bar, select Choose a Report Type. From the drop-down menu, scroll down to find and select Time Off.

4. Next, you need to type the Report Title into the text box and an optional Description underneath, which is shown in the Reports menu.

Preset Filters

For the Preset Filters, scroll down the side navigation bar to Basic Data. Drag the following fields shown in the table below into the Preset Filters box. You then need to select the appropriate filters from the drop-down list which you will access by clicking the arrow that appears within the field.

Custom Calculations

You now need to add the following two Custom Calculations to the Columns box.

1. On the side navigation bar, scroll down to My Custom Calcs.

2. Select New Custom Calculation. Drag it and drop it in the Columns box.

Custom Calculations appear as a blue box when dragged into a row.

Custom Calculation 1

1. Click into the SUM (Custom Calc) tile. The Custom Calculation Builder pop-up box will appear.

2. From the side navigation bar, scroll down to Calculated Data. Select Duration (days) and drag it into the Custom Calculation Builder pop-up box. Now Click add a number entry box.

3. Click into the first white box and select the asterisk (*). Type 1 into the next box and then press Save.

1. Click into the SUM (Custom Calc) tile. The Custom Calculation Builder pop-up box will appear.

2. From the side navigation bar, scroll down to Calculated Data. Select Allowance and drag it into the Custom Calculation Builder pop-up box. Now click Add a number entry box.

3. Click into the first white box and select the minus symbol (-). Type 1 into the next box and then press Save.

4. From the side navigation bar, scroll down to Calculated Data. Select Duration (days) and drag it into the Custom Calculation Builder pop-up box.

5. Click the red X to remove the number entry box.

6. Click into the Perform calculation field and select Merged Data from the dropdown menu and press Save.

7. Press  and your data will appear in the table.

Change your column headings

To change your column headings, click into the blue heading. A pop-up box will appear. Here you can add a new Label and include a Tooltip which will appear when you hover over the icon. Press Save and the column Label and Tooltip will update.

Hopefully, you can now create a report that shows you CMap users current yearly Time Off Allocations and their Allowance remaining. You can then use CMap Tools to share, publish or export the report so that the results can be shared more widely with your team.
