Timeline and Stage Dates

The Timeline tool has been created, including “Drag and Drop” functionality, to enable Stage Dates to be maintained in a more time-efficient way. It is really important to set-up and maintain the Timeline as Stage Dates can be used to: (1) Auto-Forecast Revenue using the "Weighted" option; (2) Auto-Schedule future Resources; and (3) predict future staffing demands against capacity in the Staffing Prediction Report.

Access the Timeline

1. From your Dashboard, head to the Pipeline tab, by clicking either CRM or Projects.

2. Find the project from the list and click its Project No-Title. Then head to the Timeline.

3. You will be taken straight to the Timeline, which contains the following fields:




A running number of the Tasks across all the Fee Stages in the Fee Estimator.



The Percentage Complete of the Task taken from the Budget vs Actual (this applies if it’s a Live Project).



The description of the Task taken from the Fee Estimator, along with an overview of the Budgeted Hours

Note: Hover over the Budgeted Hours to see which Roles have been allocated to the time.


The predicted Start Date of the project (which originates with the Estimated Start Date taken from the Project Details page) and each the subsequent predicted Start Dates of each Task.



The predicted End Date of each Task.


The duration of the Task in Days.

Change the Timeline view

  • You can choose to view the Timeline by Day, Week or Month, by clicking the options found at the top of the Timeline on the right-hand side.
  • You can also choose to ignore weekends, by clicking into the box on the top of the Timeline.

Edit the Timeline

CMap strongly recommends that the Timeline is updated regularly because it drives the following:

  • Auto-scheduling in the Resourcing Tool
  • Auto-forecasting option in the Revenue Tool
  • The information feeds the Staff Availability report

Drag and drop

1. You can drag and drop a Task by clicking on the relevant green bar and moving it to a new position on the Timeline using the mouse.

2. You can adjust the length of the Green bars for each Stage. Just click on the edge of a Task and use the mouse to drag the stage in or out. The mouse will turn to the two-directional arrow icon to indicate it’s grabbing the edge of the Task.

Enter dates manually

You can enter the Dates within the Start and End columns. Simply click into the date field and select the appropriate date from the calendar.

Update the Duration

You can also update the value in the Duration column. Just click into the Duration field and enter the new value. When you click away, the new Duration will be stored and the dates will automatically update.

The Duration in the Timeline is in Days.

More Stuff menu

On the right-hand side of the page, you’ll see the More Stuff menu. Here you can perform the following:

  • Export a copy of the Timeline: You can download a copy of the Timeline in Daily, Weekly or Monthly format. This will export to Excel.
  • View a Snapshot: When you take a Snapshot in the Fee Estimator tool, it will also take a Snapshot of the Timeline. You can view the Timeline that was created when the Snapshot was taken.

Hey Presto! You should now be able to create a Timeline for a potential project and also understand how to update the Stage dates as the project progresses. Updating the dates in the Timeline is important, as it feeds into some useful resourcing reports, such as the Staff Availability report.
