Approving Invoices (PSA)

Where invoices have been scheduled, CMap will send an automated notification to the Project Manager to approve the invoice, which also shows on the My Scheduled Invoices Dashboard.  This functionality supports invoices being raised in a timely manner and also enables Project Managers to make any adjustments that may be needed.

  • Approving a Fixed Fee Invoice
  • Approving a Resource Time & Materials Invoice
  • Rescheduling an Invoice

Approving a Fixed Fee Invoice

1. From your Dashboard, find the MY SCHEDULED INVOICES dashboard box.mceclip0.png

2. Using the scroll bar, find the Project No-Title and you will be taken to the Invoicing tab.

3. Click Approve next to the relevant invoice if you are happy with the information.

4. A pop-up box will appear asking you to confirm that you wish to approve the invoice. Click Yes.

Approving a Resource Time & Materials Invoice

The "Resourced Time & Materials" and "Pure Time & Materials" fee types have received major upgrades. These include:

  • A new UI when you come to select the time and expenses transactions to bill
  • The ability to explicitly write off time
  • The ability to credit sales invoices, releasing the associated transactions for re-billing

Rescheduling an Invoice

If the invoice cannot be billed in-month, you can make changes before it is approved.  

1. In the Invoice Schedule, next to the relevant Invoice, click the blobid0.pngicon next to Approve. This will open the Date selector for you to reschedule the invoice.

2. Make the necessary changes and click Save.

3. A pop-up box will appear asking 'Do you want to reflect the date change in subsequent invoices?'

  • Click Yes: This will push all other scheduled invoices back by the same number of months.
  • Click No: This will not alter the dates of subsequent invoices.

4. A pop-up box will appear asking you to confirm that you wish to approve the invoice. Click Yes.

Hey Presto! Now that you have made any necessary changes to the invoices and approved them, it will trigger the invoice creation process. Finance will be notified that the invoice is ready to be billed to the client. Learn more about creating invoices here.
