How to add, update and search for a Company

This article will outline the steps you should take to add and maintain a Company record in CMap. Company Records can be set up for your Clients (prospective, current and historic), Suppliers, as well as your wider network to enable CMap to operate as your master Customer Relationship Management (CRM) database.

Company Records should be maintained and updated regularly to ensure that the correct information is stored within CMap.

Add a Company

1. From your Dashboard, head to the CRM tab. Select Contacts and then click Companies.

2. You will see a list of the Companies in your CMap instance. Click the  icon at the top of the Companies grid and select New Company.

3. Complete the New Company form.

Field name


Parent Company

If the Company you are adding is a child Company or a Parent Company, you can link them to enable unified reporting.

Company Owner

The internal person who has the lead relationship with the Company.

Payment Terms

The Payment Terms you have agreed with the Company, in days, allowing you to create due dates on Invoices & debtors reports in CMap.

Finance System Account Code

The Company’s Account Code- this is how CMap maps to the Company in your accounting package.

Finance System Supplier Code

The Company’s Supplier Code- this is how CMap maps to the Company in your accounting package.


Tags are used to enhance your CRM, by assigning properties/attributes to your company. Typing * will reveal the options you have available.

Address Description

Description of the address e.g. it’s location "London Office” or its purpose “Central Billing Office”. Description determines how it appears in the Invoice creation tool.

Mandatory fields are shown with a green asterisk (*).

4. When you’ve captured the necessary information, click the Save button.

Update a Company Record

1. Head into the Company Details page through the CRM Tab. mceclip1.png

2. You have two options for how to edit the Company Record:

      • Click on the blobid1.png icon next to the Company Name.
      • Click on the Actions menu and select Edit from the drop-down menu.

You will then be taken to the Company Details page and can make any necessary changes.

4. Once you have added/updated the required information, click the Save button in the bottom right-hand corner.

What else can I update in the Contact Details?

Using the Actions menu, that can be found in Contacts Details page, you can perform the following:

      • Edit: Make changes to the Contact Details
      • Delete: Remove the Contact from the database
      • Set Contact as Favourite: Set the Contract as a favourite so it appears
      • Set Contact allowed to 'No': This sets the Contact preference to "Do not contact" so that the Contact is not contacted during any marketing campaigns.

Search for a Company

You can either use the Universal Search or Companies Grids to search for a Company in CMap. 

The View that you are using will determine the results. It is recommended to start a search from the All Companies view to ensure the Company you are looking for is not omitted.

1. From your Dashboard, go to the CRM tab and click Contacts. Then select Companies. You will see all of the Companies in your CMap database.

2. In the top row of the relevant column you wish to search in (for example, Full Name, Company Name, etc.), begin to type the name of the Company you are looking for.

3. The relevant Company should appear as you are typing. Click the Company link to be taken to the relevant page.

Use the Universal Search

The Universal Search is found in the top-right of the screen. Click the search icon and the search bar will expand.

Simply begin to type the name of the Company you are looking for and the results will be revealed.

Click the link Company to be taken to the relevant page.
