Absolutely! Simply navigate to the Contacts Grid and select Actions and Export Contacts to create an Excel export of your Contacts. Then simply copy and paste the email addresses into an Outlook Email. You can also save a CMap Contact into Outlook by going to the individual Contact record and clicking Actions and Save Contact to Outlook.

The Groups function in CMap enables you to group Contacts together to form Contact lists. This is helpful when you want to create mailing lists for Sales and Marketing purposes, as Contact Groups can be used in combination with the Marketing Email Campaigns Add-On, as well as being exported into Excel to be used directly in Outlook.

When you first create a new Company in CMap, you can select the associated Parent Company from the drop-down list when completing the New Company form. Alternatively, you can update this information from within a Project Details page by clicking the pencil icon or from the Actions menu.

All Activities that have been added on the Company record and any Activity added on a Lead, Potential or Live Project associated with that Company record will be visible on the Activities Tab on the Company record. This provides an excellent overview of all Activities that are taking place with your key Clients so you can make sure you coordinate efforts and avoid having duplicate conversations.

You'll be glad to hear that you can! In the Leads Grid, head to Actions. Click Customise Columns to add the Status field. Then filter to show leads with the status Dead/Lost Lead. Once you've found the lead you want to re-open, click through to it, then click Actions and select Re-open this Lead.

A Potential Project relates to an opportunity that has not yet been won or lost. Potential Projects enables a project budget to be created so that you can provide a quote to your client with confidence. Creating and maintaining Potential Projects in CMap also enables you to track and report on the strength of your future business pipeline, as well as enabling users to record the time they spend trying to win a project.

Yes, you can! The Update Probability Tool will enable you to update the Probability of a Live Project. This can be helpful for Clients that want all Live Projects set to 100% for weighted revenue reporting. Head to the Admin area, under the heading PROJECT, select Update Probability. Find your Project, and select the appropriate Probability value from the drop-down list.

Whenever you have two separate Projects that you would like to manage together as a single Project, CMap recommend merging them. Just to note, due to PO number coverage, you should only merge projects together that are covered by the same PO Number.

In the search bar, search for CMap and then click on the option CMap for Outlook. You will be taken to a page with more information about CMap for Outlook- click Add at the top of the page and confirm to install. Absolutely! Head to the Admin section, click on Dropdown List Options in the left-panel navigation. Select the Dropdown List you want to update. Now, simply type in the new Categories, update the existing Categories or archive any Categories that you no longer require.

Of course! Using CMap Pages you can add Custom Fields to the Project Details Page in CMap to help you capture all the key information that you need on all of your Projects. CMap Users on the Pro and Enterprise Plan are able to add an unlimited number of Custom Fields. Further information on how to add a Custom Field can be found here.

Cost Rates are used to calculate Project profit margins in CMap. You can use Cost Rates to work out how much you should be charging the client, as the Charge Rate should be the Role Cost Rate + Margin. Just to note, the Role Cost Rate is either an average of everyones individual Cost Rates or the highest person's individual Cost Rate.

If you are using CMap's PSA Edition, yes! In some cases, you may need to use a Fee Estimator from another Project to populate the Fee Estimator in your current Project. There are two options for this: (1) Push into a Fee Estimator to bring in a Fee Estimator into your current Project or (2) Pull from a Fee Estimator to send the Fee Estimator of your current Project into another Project.

If time has been recorded as "Cost of Sale" it will not appear in the Budget v Actual. Sometimes, this can happen inadvertently if a user submits their timesheet late after the Project has been won. If this is the case, go to Admin and select Change Project Won Date. Adjust the Project Won Date to earlier than the Timesheet entries, then go to Move Timesheet Entries and assign the missing articles to the relevant Project Stage.

Timesheet reminders are automatically sent at 8am local time based on the User's Time Zone set on their User Record. However, it is not currently possible to change the timing / content of timesheet reminders. Clash Groups are set up within the Your Users tool in the Admin area. Under the Time Off Settings, click Please Select. Yes! If you are booking Time Off in CMap, bookings can automatically populate in your Timesheet. Simply go to the Admin section, in Your Users, select the relevant User record and tick "Auto Populate Time Off in Timesheets". This is an optional feature, so please contact Support if you would like this enabled.

Yes, providing you have the required security permissions enabled. On your Dashboard, click Edit Dashboard and a blue box will appear at the top of the page to show that you are in Edit Mode. This is where you can add new boxes, move or re-size the boxes and remove any you no longer require.

You can select multiple items on a single dropdown list, such as multiple "Offices" or "Project Type".
