Can I export my list of Contacts into Outlook?
Absolutely! Simply navigate to the Contacts Grid and select Actions and Export Contacts to create an Excel export of your Contacts. Then simply copy and paste the email addresses into an Outlook Email. You can also save a CMap Contact into Outlook by going to the individual Contact record and clicking Actions and Save Contact to Outlook.

What are Contact Groups?

The Groups function in CMap enables you to group Contacts together to form Contact lists. This is helpful when you want to create mailing lists for Sales and Marketing purposes, as Contact Groups can be used in combination with the Marketing Email Campaigns Add-On, as well as being exported into Excel to be used directly in Outlook.

How do I record a Parent / Child Company structure in CMap?

When you first create a new Company in CMap, you can select the associated Parent Company from the drop-down list when completing the New Company form. Alternatively, you can update this information from within a Project Details page by clicking the pencil icon or from the Actions menu.

What is the Companies Projects Tab?

The Projects Tab on a Company record (previously called the KAM Profile) provides an overview of all Projects associated with the Company Record, including Child Companies if needed. The Projects Tab highlights key metrics, such as the Projected Recovery Rates to help inform budgeting and rate setting on future projects. The Projects Tab can also be used to enable recurring services in the Accounting Edition of CMap.

Which Activities appear on the Company record?

You'll be glad to hear that you can! In the Leads Grid, head to Actions. Click Customise Columns to add the Status field. Then filter to show leads with the status Dead/Lost Lead. Once you've found the lead you want to re-open, click through to it, then click Actions and select Re-open this Lead.

When should I create a Potential Project in CMap? (PSA Edition)

A Potential Project relates to an opportunity that has not yet been won or lost. Potential Projects enables a project budget to be created so that you can provide a quote to your client with confidence. Creating and maintaining Potential Projects in CMap also enables you to track and report on the strength of your future business pipeline, as well as enabling users to record the time they spend trying to win a project.

Yes, you can! The Update Probability Tool will enable you to update the Probability of a Live Project. This can be helpful for Clients that want all Live Projects set to 100% for weighted revenue reporting. Head to the Admin area, under the heading PROJECT, select Update Probability. Find your Project, and select the appropriate Probability value from the drop-down list.

When do you merge a project?

Whenever you have two separate Projects that you would like to manage together as a single Project, CMap recommend merging them. Just to note, due to PO number coverage, you should only merge projects together that are covered by the same PO Number.

Can I move a Live Project back to a Potential Project? (PSA Edition)

The Revert Back to Pipeline Tool can be used when a Project has been "won" and converted to a Live Project in error or when a Client has unfortunately changed their mind and no longer wants to proceed with a Project.

How do I set-up the Outlook integration?

To find CMap for Outlook, click on the Store icon in the top of your Outlook menu bar. A page with some suggested add-ins with open up. In the search bar, search for CMap and then click on the option CMap for Outlook. You will be taken to a page with more information about CMap for Outlook- click Add at the top of the page and confirm to install. Click Get Started and this should open a new panel to the right-hand side of your Outlook Window. You can then access CMap in Outlook at any point, by clicking on the CMap icon and this will open the CMap panel.

How do I create an Activity Template?

Activity Templates are set-up within the Admin area. Under the heading TEMPLATES, click Automated Activity Template. Select the appropriate Office and click New. When are Cost and Charge Rates used?

Cost Rates are used to calculate Project profit margins in CMap. You can use Cost Rates to work out how much you should be charging the client, as the Charge Rate should be the Role Cost Rate + Margin. Just to note, the Role Cost Rate is either an average of everyones individual Cost Rates or the highest person's individual Cost Rate.

Why is some booked time not appearing on the BvA? (PSA Edition)
If time has been recorded as "Cost of Sale" it will not appear in the Budget v Actual. Sometimes, this can happen inadvertently if a user submits their timesheet late after the Project has been won. If this is the case, go to Admin and select Change Project Won Date. Adjust the Project Won Date to earlier than the Timesheet entries, then go to Move Timesheet Entries and assign the missing articles to the relevant Project Stage.

CMap users can allocate Time to Work Activities, as well as the Project Tasks set up in the Fee Estimator. This feature can be used to report on time spent working on similar activities or to group time spent by location, such as EU or Non-EU. These can be set up in the Dropdown List Options tool within the Admin area.

What is Additional Time?

Additional Time in CMap enables users to record the Additional Time that has been spent above their standard weekly working hours. This can be a helpful reporting tool as it enables Additional Time to either be included or excluded when reviewing the costs of delivering a project as well as a Project's profitability and margin.

Timesheet reminders are automatically sent at 8am local time based on the User's Time Zone set on their User Record. However, it is not currently possible to change the timing / content of timesheet reminders. How do I set up a Clash Group in CMap?

Clash Groups are set up within the Your Users tool in the Admin area. Under the Time Off Settings, click Please Select. To select who is part of that user's Clash Group, you will need to click the Users’ Names (holding down CTRL if you wish to select more than one), or press Select All. This will allow users to avoid dates that are already booked off.

How do I set up the Expense Categories that can be selected?

The Manage Expense Categories Tool can be used to update and rename the Expense Categories available to users. Head to the Admin area and scroll down to EXPENSES.  Select Expense Categories. Scroll down to the bottom of the table and in the text box, type the Name of the new category. Click Add Item.

Just to note, CMap is timestamping the position at the precise moment you close the month, so if you re-open a month, it will "lose" the awareness of that month's position. This means that when you close the month again, it will take the position as being the precise moment you closed the month. 

Finance Users are able to re-open closed months in CMap. Head to the Finance tab. Under the heading RECOGNISED REVENUE, select Close Month. Find the closed month from the list and select Re-open. Can you restore time that has been written off?
Yes! If time entries have been incorrectly written off, simply go to the Admin section and click on Restore Written Off Time in the left-side navigation panel. Here you will be able to search for the relevant time entries and reverse any write offs. Remember, you will need to grant access to the Restore Written Off Time feature in your Security Group first to be able to access this feature.
