Orientation (Tabs Walkthrough)
NOTE: The tabs you see in your version depend upon the modules you chose for your configuration. Every CMAP client takes different blends of functionality to suit their needs. If some are missing, don’t panic, the likely answer is you didn’t go for them. As time goes on, if you feel some of the additional tabs might be beneficial, contact us and we’ll arrange for it to be added to your subscription and switched on.
Home (or Dashboard)
When you log in, the first screen you arrive at is your Dashboard. The dashboard gives real-time information that is relevant and personalised to each CMAP user. Different roles in the organisation will choose from different blends of Dashboard boxes that match their interests. Clicking Dashboard items will take you straight to the relevant part of CMAP so you can investigate and/or take action. CMAP’s Dashboards’ ensure nothing stays 'hidden' in the system.
The Contacts module is a centralised database of primary contact information. This is also the hub for your CRM (Customer Relationship Manager) activities, KAM (Key Account Management) planning, etc. Primary contact information ensures everybody in the organisation has access to the latest data, as it’s only stored in the system once, then applied throughout.
The Marketing module enables you to track your marketing campaigns e.g. events, to calculate the ROI you are getting from your spend. You can even run email campaigns to contacts in your Contacts database straight from CMAP and track their interest levels in your content. Webforms can be generated to paste into your website to capture personal details. And CMAP can even send Customer Surveys to your clients to see how happy they are with your services.
The RFP module enables you to quickly capture critical information i.e., who the client is, what the RFP’s about, who’s responsible and when the deadline is. All your RFP’s are recorded and tracked in one place, so it gives you the best possible opportunity to get your request processed on time and to a high standard.
The Leads module is where you capture early stage sales leads before they’re well qualified enough to go into the Pipeline i.e., the projects or relationships that might or might not go somewhere. It’s a great way of capturing the very top of your sales funnel and ramping-up your business development activities.
The Pipeline module is where you manage and quote for the potential projects you are trying to win. Pipeline differs from Leads by virtue of the fact it’s qualified and more “solid” i.e., requirements have been or are being defined, there’s a feel for the estimated start date of the project, you’ve started discussing commercials, etc. The aim of the business should be to have an accurate pipeline so management can focus efforts on winning the right type of business i.e., projects with the most profitable clients, most profitable service offerings, that start at the time there’s a resource gap, etc.
The Projects module gives you all the tools you need to manage and track your projects to a successful (hopefully!) conclusion. Here, you resource your project, track real-time Budget vs. Actuals fuelled with live timesheet data, schedule and generate invoices – absolutely everything you need to monitor your project (without all the hassle of using spreadsheets and separate systems!).
The Time module is where users record their time and request time off. Timesheets instantly appear on project reports e.g. The Project Time & Expense Report and on the Budget vs. Actual for the project manager to assess the performance of the budget. The timesheets themselves are so easy to use they almost require no training. Clash Groups ensure you don’t have too many people of a certain role off at the same time. You can easily identify users that aren’t working through their allowance at a sufficient rate to avoid mass-holidays at the end of the holiday year.
The Expenses module is where you log personal expense claims e.g., mileage, accommodation, subsistence, etc. Expense items are linked directly to clients and projects (where relevant) and feature on the projects Budget vs. Actual for your project managers to keep tabs on. Just like the Time module, it’s that easy it almost requires no training.
The Reports module is your window into the health and performance of your company, giving you immediate answers to your business questions. Reports are available at the click of a button, with filter options that allow you to slice through the data and get the reporting angles you’re looking for. Ad hoc report requests that might have swallowed hours (maybe days!) of time to prepare should now take minutes. In fact, it’s so quick and easy that most senior management self-serve their reports in CMAP.
The Admin module gives you controls to evolve CMAP as you evolve. For instance, adding new Project Types if you branch into new service offerings, setting sales targets against clients, updating your roles and rates as and when they need to change, etc. The Admin module is packed full of tools to help you keep CMAP in line with the current needs of the business. Often access will be limited to only a small group of individuals… for obvious reasons.
